SME necessity to adopt budget management systems

In a broad sense we can define budget as next year economic (and in some extent strategic) plan. Using budget systems implies a whole business philosophy concerning the way we manage a company, based on the ability to foresee and control an enterprise environment instead of adapting to it.

Budgeting process begins by building a detailed and realistic sales estimation. From this point on, a production plan is scheduled. After that, necessary goods and services purchases to run the company are settled, and the necessary human resources also.

In budget elaboration, physical/technical units are used (units of product, materials, different machinery time of use expressed in hours, etc.). These technical units are converted to monetary ones, multiplying them by their unitary acquisition price or cost.

Once the different items (sales, purchases, payroll) in a budget are expressed in monetary units, detailed estimated cash flow reports could be made, so we can establish financial requirements.

Budget are useful to control that the real elaboration cost of the different products and services we provide are between established standard margins.

Budgeting process, in an indirect way, helps to define functions and structure the organization as being necessary to analyze and economically evaluate the different tasks and processes that are performed in a company.

Budget management force staff (specially chief of departments and directors) to understand and embrace the company objectives, committing themselves in achieving them. This is accomplished by giving them the opportunity to evaluate and justify the need of certain resources and after that, along the year, being responsible for and explaining deviations between forecast resources and those effectively used. This way, management has at their disposal a powerful control tool, which facilitates them to know the evolution of each indicator that gauges the correct business development.

A budget has to be as realistic and detailed as possible, with the necessary itemization to permit fundamental parameters to be controlled, but, on the contrary, without minutely detailing irrelevant aspects.

Budget management systems are not effective unless they are connected to the different data management systems of the company, running on line, and being able to detect immediately any deviation between real business development data and the estimated ones, allowing the adoption of corrective measures quickly.

Adopting a budget management system, provides the company a better organizational structure, a greater capacity of response before unexpected events, and a better resource management. All this results on considerable cost savings as company efficiency and productivity increases.
